Purchase Invoice

Purchase invoice window allows to register and manage supplier's invoices.

Header

Supplier invoices can be registered, booked and managed in the header section of the purchase invoice window.

  • Organization : Organizational entity within client
  • Transaction Document : The specific document type which should be used for the document.
  • Document No. : An often automatically generated identifier for all documents.
  • Invoice Date : The time listed on the invoice.
  • Business Partner : Anyone who takes part in daily business operations by acting as a customer, employee, etc.
  • Partner Address : Identifies the (ship from) address for this Business Partner
  • Price List : A catalog of selected items with prices defined generally or for a specific partner.
  • Accounting Date : The date this transaction is recorded for in the general ledger.
  • Payment Terms : The setup and timing defined to complete a specified payment.
  • Payment Method : It is the method by which payment is expected to be made or received.
  • Description : A space to write additional related information.
  • Purchase Order : A unique and often automatically generated identifier for a purchase order.
  • Supplier Reference : A reference or document order number as listed in business partner application.
  • Document Status : The Document Status indicates the status of a document at this time.
  • Total Gross Amount : The final monetary amount (including taxes) charge listed in a document.
  • Total Net Amount : The final sum of all line totals made to a specified document or transaction (not including taxes).
  • Currency : An accepted medium of monetary exchange that may vary across countries.
  • Payment Complete : A confirmation stating whether the request has been closed through a monetary transaction.
  • User/Contact : An acquaintance to reach for information related to the business partner.
  • Total Paid : Total amount paid.
  • Last Calculated on Date : Last Calculated On Date for payment monitor
  • Total Outstanding : Outstanding Amount
  • Tax Date : Tax Date
  • Order Date : The time listed on the order.
  • Amount Currently Due : Due Amount
  • Days Till Next Due : Days Till Next Due
  • Company Agent : Purchase or Company Agent
  • Print Discount : An option to have any discount printed on the invoice.
  • Document Type : A value defining what sequence and process setup are used to handle this document.
  • Withholdingamount : Withholding amount
  • Withholding : Withholding
  • Percentage Paid Late
  • Activity : A distinct activity defined and used in activity based management.
  • Paid In Full Date
  • Days to Pay in Full
  • Active : A flag indicating whether this record is available for use or de-activated.
  • Charge Amount : The amount of a cost or expense incurred during business activity.
  • Charge : A cost or expense incurred during business activity.
  • Generate Receipt from Invoice : Create and process delivery Receipt from this invoice. The invoice should be correct and completed.
  • Trx Organization : The organization which performs or initiates the transaction.
  • Add Payment : Add Payment button.
  • Posted : An accounting status button that indicates if the transaction has already been posted to the general ledger or not.

  • Create Lines From Order : An addition of statements from pre-existing orders
  • Create Lines From Receipt : An addition of statements from pre-existing documents
  • Copy Lines : Copy lines (products) from an existing Invoice.
  • Project : Identifier of a project defined within the Project & Service Management module.
  • Cost Center : Division that adds to the cost of an organization
  • Asset : An item which is owned and exchangeable for cash.
  • Sales Campaign : An advertising effort aimed at increasing sales.
  • 1st Dimension : A display of optional elements that are previously defined for this account combination.
  • 2nd Dimension : A display of optional elements that are previously defined for this account combination.
  • Prepayment Amount
  • Self-Service : Self-Service allows users to enter data or update their data. The flag indicates, that this record was entered or created via Self-Service or that the user can change it via the Self-Service functionality.
  • Sales Transaction : An indication that a transfer of goods and money between business partners is occurring.
  • Processed : A confirmation that the associated documents or requests are processed.
  • Process Invoice : Process Invoice
  • Print : A reference stating whether or not the document has been printed at any time in the past.
  • Invoice : A document listing products, quantities and prices, payment terms, etc.
  • Date printed : Date the document was printed.
  • Creation Date : The date that this record is completed.
  • Client : Client for this installation.

Lines

Once the purchase invoice header has been properly filled in and saved purchase invoice lines can be registered in this tab.

  • Line No. : A line stating the position of this request in the document.
  • Financial Invoice Line : This flag will decide whether we are going to book the invoice line on directly general ledger or not.
  • Product : An item produced by a process.
  • Account : The identification code used for accounting.
  • Operative Quantity : The number of a certain item involved in the transaction, according to the defined Operative UOM.
  • Alternative UOM : A non monetary unit of measure.
  • Invoiced Quantity : The total number of a product included in an invoice to a business partner.
  • UOM : A non monetary unit of measure.
  • Net Unit Price : The price that will be paid for a specified item.
  • Gross Unit Price : Price inclusive of taxes
  • Line Net Amount : The final amount of a specified line, based only on quantities and prices.
  • Line Gross Amount : Gross Amount for a line
  • Description : A space to write additional related information.
  • Tax : The percentage of money requested by the government for this specified product or transaction.
  • List Price : The official net price of a product in a specified currency.

  • Attribute Set Value : An attribute associated with a product as part of an attribute set.
  • Purchase Order Line : Purchase Order Line
  • Goods Receipt Line : A statement displaying one item, charge, or movement in a receipt.
  • Deferred Expense : When flagged expense of the product will be deferred using the plan and the number of periods
  • Alternate Taxable Amount : The total sum on which taxes are added. Used as an alternative for tax calculation.
  • Exclude for Withholding : Exclude for Withholding
  • Edit Line Net Amount : A flag used to allow the end-user to edit Line Net Amount field.
  • Order Quantity : The number of a certain item involved in the transaction, shown in units which differ from the standard UOM.
  • Order UOM : The unit of measure being used for the request.

  • Expense Plan Type : Type of plan used to defer expenses
  • Period Number : Number of periods to which revenue is deferred.
  • Period : A specified time period.

  • Invoice Line : A statement displaying one item or charge in an invoice.
  • Invoice : A document listing products, quantities and prices, payment terms, etc.
  • Description Only : if true, the line is just description and no transaction
  • Creation Date : The date that this record is completed.
  • Client : Client for this installation.
  • Active : A flag indicating whether this record is available for use or de-activated.

Discounts and Promotions

View applied Discounts and Promotions for each line.

  • Line No. : A line stating the position of this request in the document.
  • Promotion/Discount : The ability to raise or lower prices.

Line Tax

Line tax information is automatically populated for each purchase invoice line upon completion of the invoice.

  • Tax : The percentage of money requested by the government for this specified product or transaction.
  • Taxable Amount : The total sum on which taxes are added.
  • Tax Amount : The total sum of money requested by the government of the specified transaction.
  • Recalculate : Recalculate tax
  • Organization : Organizational entity within client
  • InvoiceLineTax : Invoice Line Tax
  • Invoice Line : A statement displaying one item or charge in an invoice.
  • Invoice : A document listing products, quantities and prices, payment terms, etc.

Accounting dimension

Accounting dimension

  • Active : A flag indicating whether this record is available for use or de-activated.
  • Amount : A monetary sum of two or more quantities.
  • Organization : Organizational entity within client

  • Product : An item produced by a process.
  • Project : Identifier of a project defined within the Project & Service Management module.
  • Cost Center : Division that adds to the cost of an organization

  • Tax Amount : The total sum of money requested by the government of the specified transaction.
  • Taxable Amount : The total sum on which taxes are added.
  • Recalculate : Recalculate tax
  • Organization : Organizational entity within client
  • Invoice : A document listing products, quantities and prices, payment terms, etc.
  • Client : Client for this installation.

  • Active : A flag indicating whether this record is available for use or de-activated.

Basic Discounts

This tab lists information about the discounts automatically applied based on the supplier configuration and / or manually entered for the purchase invoice.

  • Line No. : A line stating the position of this request in the document.
  • Basic Discount : The percentage price reduction based on the list price.
  • Cascade : Any additional discount built upon the remaining total after applying previous discounts.
  • Active : A flag indicating whether this record is available for use or de-activated.
  • Organization : Organizational entity within client

  • Invoice : A document listing products, quantities and prices, payment terms, etc.

Payment Plan (old)

The payment plan tab lists the scheduled payments expected against the invoice.

  • Due Date : The date when a specified request must be carried out by.
  • Payment Method : It is the method by which payment is expected to be made or received.

This tab displays the details of the payments made against the invoice.

  • Financial Account : Financial account used to deposit / withdrawal money such as bank accounts or petty cash

  • Currency : An accepted medium of monetary exchange that may vary across countries.

  • Exchange Rate : Exchange rate used to convert payment to financial account currency

  • Invoice Amount : The monetary sum that is invoiced for a specified item or service.

Payment

Create an obligation for accounting to pay for all or part of your invoice amount.

  • Settlement Cancelled : The settlement used to cancel the corresponding payment.
  • Form of Payment : The method used for payment of this transaction.
  • Due Date : The date when a specified request must be carried out by.
  • Business Partner : Anyone who takes part in daily business operations by acting as a customer, employee, etc.
  • Description : A space to write additional related information.
  • Cashbook : A document used to manage all cash transactions.
  • Cash Journal Line : A statement displaying one transaction in the cash journal.
  • Bank Account : A monetary account of funds held in a recognized banking institution.
  • Bank Statement Line : A statement displaying one transaction in the bank statement.
  • Amount : A monetary total.
  • Currency : An accepted medium of monetary exchange that may vary across countries.
  • Write-off Amount : A monetary sum that can be deducted from tax obligations.
  • Withholdingamount : Withholding amount
  • Initial Status : Status of a payment upon creation.

  • Receipt : Indicates a sales or purchase transaction.

Reversed Invoices

This tabs allows the user to select the invoices (if any) being reversed by the invoice being created. When the user voids an existing invoice the reverse invoice is automatically created by Openbravo and linked to the original invoice being reversed. In case of creating a Reverse Purchase Invoice which partially voids an existing invoice/s, the user must manually select the invoice/s being reversed in this tab.

Exchange rates

The exchange rate tab allows to enter an exchange rate between the organization's general ledger currency and the currency of the supplier's invoice to be used while posting the invoice to the ledger.

Accounting

Accounting information related to the purchase invoice

  • Client : Client for this installation.

  • Active : A flag indicating whether this record is available for use or de-activated.
  • Record ID : An record identifier in the dictionary.
  • General Ledger : The book containing all financial transactions recorded for the legal entity.
  • Currency : An accepted medium of monetary exchange that may vary across countries.
  • Period : A specified time period.
  • Accounting Date : The date this transaction is recorded for in the general ledger.
  • Sequence Number : The order of records in a specified document.
  • Account : The identification code used for accounting.
  • Value : Value of the account used in the entry.
  • Accounting entry Description : Description of the accounting entry
  • Debit : The amount debited to an account, converted to the organization default currency.
  • Credit : The amount credited to an account, converted to the organization default currency.
  • Description : A space to write additional related information.
  • Business Partner : Anyone who takes part in daily business operations by acting as a customer, employee, etc.
  • Product : An item produced by a process.
  • Project : Identifier of a project defined within the Project & Service Management module.
  • Cost Center : Division that adds to the cost of an organization

  • Type : Type of entry (Normal, Closing, Opening, Regularization)
  • Trx Organization : The organization which performs or initiates the transaction.
  • Transaction Date : The date that a specified transaction is entered into the application.
  • Tax : The percentage of money requested by the government for this specified product or transaction.
  • Table : A dictionary table used for this tab that points to the database table.
  • Storage Bin : A set of coordinates (x, y, z) which help locate an item in a warehouse.
  • Sales Region : A defined section of the world where sales efforts will be focused.
  • Sales Campaign : An advertising effort aimed at increasing sales.
  • Record ID 2 : Payment the fact refers to.
  • Quantity : The number of a certain item.
  • Posting Type : A distinct posting amount characteristic used for processes and sometimes grouped within a category.
  • Location to Address : The location where items are sent to.
  • Location from Address : The location where items are sent from.
  • Line ID : Transaction line ID (internal)
  • Group ID : Accounting entry group ID
  • G/L Category : A classification used to group lines in the general ledger.
  • Foreign Currency Debit : The amount debited from the account, given in provider currency.
  • Foreign Currency Credit : The amount credited from the account, given in provider currency.
  • Document Type : A value defining what sequence and process setup are used to handle this document.
  • Document Category : A classification of document types that are shown and processed in the same window.
  • Activity : A distinct activity defined and used in activity based management.
