Business Partner

Business partner master data window is the place where you can easily organize and centralize business partner data.

Business Partner

There are many business partner types such as customers, suppliers and employees you can define and configure.

  • Organization : Organizational entity within client
  • Search Key : A fast method for finding a particular record.
  • Commercial Name : Commercial Name of the Business Partner
  • Tax ID : The government defined unique number for assigning and paying taxes.
  • Business Partner Category : A classification of business partners based on defined similarities.
  • Fiscal Name : Fiscal Name of the Business Partner.
  • Description : A space to write additional related information.
  • URL : An address which can be accessed via internet.
  • Reference No. : The number for a specific reference.
  • Consumption Days : Consumption Days
  • Active : A flag indicating whether this record is available for use or de-activated.
  • Isofiscalcode : Iso fiscal code
  • Fiscalcode : Fiscal code
  • Language : Language for this application
  • Summary Level : A means of grouping fields in order to view or hide additional information.
  • Valuation : An estimation or appraisal with the goal of defining a value.
  • Greeting : A description, often abbreviated, of how to address a business partner.
  • Acquisition Cost : The cost of gaining the prospect as a customer
  • Potential Customer : Indicates a Prospect or Customer
  • Date of First Sale : Date of First Sale
  • No. of Employees : Number of employees
  • Expected Lifetime Revenue : Total Revenue expected
  • Volume of Sales : Total Volume of Sales
  • Share : Share of Customer's business as a percentage
  • Customer : Indicates a business partner that is your customer, ie. that will be making purchases from you.
  • Vendor : A business partner who sells products or services.
  • Employee : A business partner who will be working for an organization.
  • Set New Currency
  • Credit Line Limit : Total outstanding invoice amounts allowed
  • Currency : An accepted medium of monetary exchange that may vary across countries.
  • UPC/EAN : A bar code with a number to identify a product.

  • NAICS/SIC : Standard Industry Code or its successor NAIC - http://www.osha.gov/oshstats/sicser.html
  • Invoice Terms : Frequency and method of invoicing

  • Current Balance : Current open balance
  • Client : Client for this installation.
  • Business Partner : Anyone who takes part in daily business operations by acting as a customer, employee, etc.

Customer

Customer related data can be entered and configured once the "Customer" check-box is enabled.

  • Customer : Indicates a business partner that is your customer, ie. that will be making purchases from you.
  • Price List : A catalog of selected items with prices defined generally or for a specific partner.
  • Payment Method : It is the method by which payment is expected to be made or received.
  • Commercial Name : Commercial Name of the Business Partner
  • Payment Terms : The setup and timing defined to complete a specified payment.
  • Financial Account : Financial account used to deposit / withdrawal money such as bank accounts or petty cash
  • Sales Representative : The person in charge of a document.
  • Invoice Terms : Frequency and method of invoicing
  • Invoice Schedule : Schedule for generating Invoices
  • Tax Exempt : A condition stating that for a specific case, taxes must not be applied.
  • On Hold : This flag allows to block the customer. By checking it, a new section will be shown called Business Partner Blocking with the possible blocking options.
  • Sales Order : This flag allows to block sales order in customer.
  • Goods Shipment : This flag allows to block goods shipment out in customer.
  • Sales Invoice : This flag allows to block sales invoice in customer.
  • Payment In : This flag allows to block payment in in customer.
  • SO BP Tax Category : SO BP Tax Category
  • Maturity Date 1 : The day of the month that invoices are due. 3 maturity dates can be defined.
  • Maturity Date 2 : The day of the month that invoices are due. 3 maturity dates can be defined.
  • Maturity Date 3 : The day of the month that invoices are due. 3 maturity dates can be defined.
  • Form of Payment : The method used for payment of this transaction.
  • Number of Copies : The number of copies of each document that will be printed.
  • Order Description : Description to be used on orders
  • Print Discount : An option to have any discount printed on the invoice.
  • Delivery Terms : A definition stating when a specific delivery will occur.
  • Delivery Method : The desired means of getting requested goods to a business partner.
  • Invoice Grouping

  • Birthday : An anniversary of birth for a business partner.
  • Birth Place
  • Transactional Bank Account : Default Customer Bankaccount
  • Search Key : A fast method for finding a particular record.

  • Order Reference : A reference or document order number as listed in business partner application.
  • Incoterms ( PO )
  • Client : Client for this installation.
  • Business Partner : Anyone who takes part in daily business operations by acting as a customer, employee, etc.
  • Active : A flag indicating whether this record is available for use or de-activated.

Customer Accounting

Customer accounting tab allows you to configure the ledger accounts to be used while posting customer related transactions such as customer receivables and customer advances to the general ledger.

  • General Ledger : The book containing all financial transactions recorded for the legal entity.
  • Active : A flag indicating whether this record is available for use or de-activated.
  • Customer Receivables No. : An account number in the general ledger to mark transactions with a business partner.
  • Customer Prepayment : The Customer Prepayment account indicates the account to be used for recording prepayments from a customer.
  • Status : A defined state or position of a payment.
  • Organization : Organizational entity within client
  • Customer Accounting : Business partner customer accounts.
  • Client : Client for this installation.
  • Business Partner : Anyone who takes part in daily business operations by acting as a customer, employee, etc.

Vendor/Creditor

Vendor or Creditor related data can be entered and configured once the "Vendor" check-box is enabled.

  • Vendor : A business partner who sells products or services.
  • Purchase Pricelist : A catalog of selected products which can be purchased, each with a specified price.
  • Commercial Name : Commercial Name of the Business Partner
  • PO Payment Method
  • PO Payment Terms : The setup and timing defined to complete a specified payment.
  • PO Financial Account : Financial account used to deposit / withdrawal money such as bank accounts or petty cash
  • PO Maturity Date 1 : The day of the month that invoices are due. 3 maturity dates can be defined.
  • PO Maturity Date 2 : Day of the month of the due date
  • PO Maturity Date 3 : Day of the month of the due date
  • Tax Category : Bussines Partner Tax Category as a Vendor
  • PO Form of Payment : The method used to pay the request.

Vendor Accounting

Vendor accounting tab allows you to configure the ledger accounts to be used while posting vendor related transactions such as vendor liabilities and vendor advanced payments to the general ledger.

  • Vendor Prepayment : An account number in the general ledger used to mark transactions with this business partner.

  • Vendor Accounting : Business partner vendor accounts.

  • Business Partner : Anyone who takes part in daily business operations by acting as a customer, employee, etc.

Employee

A business partner can be set up as employee once the check-box "Employee" is enabled.

  • Employee : A business partner who will be working for an organization.
  • Is Sales Representative : The person in charge of carry out an order.
  • Commercial Name : Commercial Name of the Business Partner

  • Current Salary Category : A classification of salaries based on similar characteristics or attributes.
  • Search Key : A fast method for finding a particular record.

  • Business Partner : Anyone who takes part in daily business operations by acting as a customer, employee, etc.
  • Active : A flag indicating whether this record is available for use or de-activated.

Employee Accounting

The ledger accounts to be used while posting employee related transactions such as paryroll accounting could be added in this tab.

  • General Ledger : The book containing all financial transactions recorded for the legal entity.

Bank Account

Bank account tab allows you to list and setup business partner bank accounts.

  • Bank Name : Name of the bank
  • Active : A flag indicating whether this record is available for use or de-activated.
  • Country : A state or a nation.
  • User/Contact : An acquaintance to reach for information related to the business partner.
  • Bank Account Format : Bank Account Format used for generating the Displayed Account No
  • Generic Account No. : Bank account number in a generic format.
  • IBAN : International standard for identifying bank accounts across national borders
  • Use Generic Account No. : Use the Generic Account Number for generating the Displayed Account Number
  • SWIFT Code : SWIFT Code (Society of Worldwide Interbank Financial Telecommunications)
  • Use IBAN : Use IBAN for generating the Displayed Account Number
  • Displayed Account : Text that will identify this bank account
  • Routing No : Bank Routing Number
  • City : City or the Credit Card or Account Holder
  • Email : Email Address
  • Driver's License No. : Payment Identification - Driver License
  • Social Security No. : Payment Identification - Social Security No
  • Name : Name on Credit Card or Account holder
  • State : State of the Credit Card or Account holder
  • Street : Street address of the Credit Card or Account holder

Location/Address

Business partner locations and full address details can be set up in this tab.

  • Location / Address : A specific place or residence.
  • Phone : A telephone number for a specified business partner.
  • Alternative Phone : A second contact telephone number for a business partner.
  • Name : A non-unique identifier for a record/document often used as a search tool.
  • Fax : A fax number for a specified business partner.
  • Shipping Address : Business Partner address to ship goods to
  • Invoicing Address : Indicates that this address is the Invoicing Address
  • Active : A flag indicating whether this record is available for use or de-activated.
  • Sales Region : A defined section of the world where sales efforts will be focused.
  • Pay from Address : Business Partner pays from that address and we'll send dunning letters there
  • Remit to Address : Address we send payments to
  • Tax Location
  • Partner Address : The location of the selected business partner.
  • Organization : Organizational entity within client
  • Client : Client for this installation.
  • Business Partner : Anyone who takes part in daily business operations by acting as a customer, employee, etc.

Contact

Contact tab allows you to add and configure the business partner contacts you deal with.

  • First Name : Name of the contact
  • Last Name : Last name of the contact
  • User : Alphanumeric identifier of the entity
  • Email : An email address for a specified business partner.
  • Phone : A telephone number for a specified business partner.
  • Alternative Phone : A second contact telephone number for a business partner.
  • Position : A defined job, title, or ranking within a company.
  • Comments : A space to write additional related information.
  • Active : A flag indicating whether this record is available for use or de-activated.
  • Description : A space to write additional related information.
  • Greeting : A description, often abbreviated, of how to address a business partner.
  • Birthday : An anniversary of birth for a business partner.
  • Partner Address : The location of the selected business partner.
  • Fax : A fax number for a specified business partner.
  • Last Contact Result : A statement related to the result of the last interaction with a business partner.
  • Last Contact Date : Date this individual was last contacted
  • Grant Portal Access : Grants to this user access to portal
  • User/Contact : An acquaintance to reach for information related to the business partner.
  • Supervisor : Supervisor for this user - used for escalation
  • Process Now : A request to process the respective document or task.
  • Password : A secret code used to allow access to a specified window or tab.
  • Organization : Organizational entity within client
  • Email Server Username : User Name (ID) in the Mail System
  • Email Server Password : Password of your email user id
  • Client : Client for this installation.
  • Business Partner : Anyone who takes part in daily business operations by acting as a customer, employee, etc.

Basic Discount

Basic Discount tab allows you to add and configure business partner Basic Discounts.

  • Line No. : A line stating the position of this request in the document.
  • Basic Discount : The percentage price reduction based on the list price.
  • Customer : Indicates a business partner that is your customer, ie. that will be making purchases from you.
  • Vendor : A business partner who sells products or services.
  • Apply in Order : Apply the discount also to the Order
  • Cascade : Any additional discount built upon the remaining total after applying previous discounts.
  • Active : A flag indicating whether this record is available for use or de-activated.
  • Organization : Organizational entity within client
  • Client : Client for this installation.
  • C_Bpartner_Discount_ID
  • Business Partner : Anyone who takes part in daily business operations by acting as a customer, employee, etc.

Withholding

The Withholding Tab defines any withholding information for this business partner.

  • Active : A flag indicating whether this record is available for use or de-activated.
  • Withholding : Withholding
  • Default : A value that is shown whenever a record is created.
  • Include Tax : Include Tax Inps
  • Tax : The percentage of money requested by the government for this specified product or transaction.
  • Percent of Base Amount : Percentage of Base Amount
  • Organization : Organizational entity within client
  • Is Percent : Is Percent of Base Amount
  • Creation Date : The date that this record is completed.

  • Business Partner Withholding
  • Business Partner : Anyone who takes part in daily business operations by acting as a customer, employee, etc.

Product Template

Create a product template to be used to carry out simple sales order transactions with this business partner.

  • Active : A flag indicating whether this record is available for use or de-activated.
  • Product : An item produced by a process.
  • Quantity : The number of a certain item.
  • Template Type : Type of the template

Shipment Route

Create a delivery position for this business partner on a defined shipment route, in case the wharehouse is defined as Shipment Vehicle.

  • Active : A flag indicating whether this record is available for use or de-activated.
  • Warehouse : The location where products arrive to or are sent from.
  • Sequence Number : The order of records in a specified document.
  • Organization : Organizational entity within client
  • M_Warehouse_Shipper_ID : Shipper Warehouse
  • Client : Client for this installation.
  • Business Partner : Anyone who takes part in daily business operations by acting as a customer, employee, etc.

Volume Discount

Add volume discounts which may be made available to this business partner.

  • Active : A flag indicating whether this record is available for use or de-activated.
  • Volume Discount : A promotion given at a specific time of year based on purchase amounts.
  • Sequence Number : The order of records in a specified document.
  • Sales Transaction : An indication that a transfer of goods and money between business partners is occurring.
  • Valid From Date : A parameter stating the starting time of a specified request.
  • Valid To Date : A parameter stating the ending time of a specified request.
  • Create Invoice (Volume Discount) : Create invoice
  • Organization : Organizational entity within client
  • Client : Client for this installation.
  • Business Partner : Anyone who takes part in daily business operations by acting as a customer, employee, etc.

Volume Discount Settlement

View invoices for volume discounts accepted and used by this business partner.
